Payment & Refunds Policy
1. Payment Terms
All invoices issued by Accession Digital are due within 7 days of the invoice date unless otherwise agreed in writing. Payments are accepted via bank transfer and other methods as agreed on a per-project basis.
Late payments may result in work being paused until the outstanding balance is cleared. Accession Digital reserves the right to charge interest on overdue invoices in accordance with applicable law. All prices are quoted exclusive of VAT unless stated otherwise.
2. Milestone-Based Billing
For project-based work, payments are structured around agreed milestones. The standard structure is:
- Deposit (50%): Due upon acceptance of the project proposal. Work will not commence until the deposit is received. The deposit is non-refundable once work has commenced.
- Milestone payments: Issued at agreed stages — typically at design sign-off and build completion.
- Final payment (balance): Due upon project completion and prior to delivery of assets, files, or site launch. No deliverables will be released until the final invoice is cleared.
The specific payment schedule for your project will be outlined in your proposal or contract.
3. Refund Policy
Accession Digital provides professional digital services. Due to the nature of creative and development work, we operate a no-refund policy on work that has been delivered or substantially completed.
- Deposits: Non-refundable once work has commenced. If a project is cancelled before work begins, the deposit may be refunded at our discretion.
- Delivered work: No refund is issued on work that has been delivered, approved, or signed off by the client.
- Cancelled projects: Where a project is cancelled mid-delivery, you remain liable for all work completed to the date of cancellation, billed at the agreed project rate or our standard day rate.
- Partial refunds: May be considered at our sole discretion where a significant deficiency in delivered work has been identified and cannot be remedied within a reasonable timeframe.
This policy does not affect your statutory rights as a consumer under EU or Irish consumer protection law.
4. Dispute Resolution
If you have a concern about an invoice or payment, contact us promptly at hello@accessiondigital.co. We aim to resolve all payment disputes within 14 days of being notified. Where a dispute cannot be resolved amicably, both parties agree to attempt mediation before pursuing formal legal action.
5. Advertising Spend
Where Accession Digital manages paid advertising campaigns on your behalf, advertising spend is the sole financial responsibility of the client. Ad spend is managed directly within the client's own ad accounts and is entirely separate from our service fees. Accession Digital accepts no financial responsibility for ad spend performance, platform policy changes, or any loss of advertising budget.

Ownership Policy
1. Work in Progress Ownership
All work created by Accession Digital — including designs, code, creative assets, written content, brand materials, and documentation — remains the intellectual property of Accession Digital until full and final payment has been received.
During the project, you are granted a limited, non-exclusive licence to review and provide feedback on work in progress. This licence does not constitute ownership or transfer of any rights.
2. IP Transfer on Full Payment
Upon receipt of full and final payment, all intellectual property rights in the deliverables created specifically for your project are transferred to you. This transfer is:
- Limited to the final agreed deliverables — not preliminary work, concepts, or rejected iterations
- Subject to any third party licences contained within the deliverables (see Section 4)
- Effective from the date full payment is received — not the date of delivery
Until full payment is received, you do not have the right to use, publish, distribute, or otherwise exploit any deliverables created under this agreement.
3. Asset Handover
Upon full payment, we will provide a handover package appropriate to your project. This typically includes:
- Final source files in agreed formats (design files, code repositories, brand assets)
- Login credentials for any accounts created on your behalf
- Project documentation and technical notes relevant to your use of the deliverables
Handover requests must be made within 12 months of project completion. We cannot guarantee availability of project files beyond this period.
4. Third Party Assets
Your deliverables may incorporate third party assets including fonts, stock imagery, icons, plugins, frameworks, and code libraries. Ownership and licensing of these assets remain subject to their original licence terms. We will notify you of any material third party licences included in your project.
You are responsible for maintaining any ongoing licences required for third party assets after project completion — for example, font licences, software subscriptions, or stock image licences.
5. Portfolio Rights
Accession Digital reserves the right to display work created for clients in our portfolio, marketing materials, and case studies, unless you have explicitly requested confidentiality in writing prior to project commencement. We will not disclose confidential business information, financial data, or internal client details in any portfolio use.

Acceptable Use Policy
1. Overview
This Acceptable Use Policy applies to all services provided by Accession Digital, including all products under the AccessionAI brand — Always (AI receptionist) and Review Growth+ (automated review acquisition). By using any Accession Digital service, you agree to comply with this policy.
2. Permitted Use
Our services may only be used for lawful business purposes. You agree to use all Accession Digital services:
- In compliance with all applicable local, national, and international laws and regulations
- In a manner consistent with the intended purpose of each service
- With accurate and truthful information provided to us and to any end users reached through our services
- In good faith and with respect for the rights of others
3. Prohibited Use
You must not use any Accession Digital service for the following:
- Any illegal activity, including fraud, money laundering, or activities that violate consumer protection law
- Sending unsolicited commercial communications (spam) to any individual or business
- Harassment, abuse, or intimidation of any individual or group
- Distribution of false, misleading, or deceptive information
- Infringement of any third party's intellectual property rights
- Collection or storage of personal data without appropriate consent or legal basis
- Any activity that could damage, disrupt, or place unreasonable burden on our infrastructure or services
4. AI Product Usage (AccessionAI)
The following additional terms apply to AccessionAI products:
- Always: Must not be used to impersonate a human in a way that is deceptive or misleading to end users. Must not be used to collect personal data without appropriate consent disclosures. Must not be used in violation of telecommunications law or consumer protection regulation in your jurisdiction.
- Review Growth+: Must only be used to solicit genuine reviews from real customers who have had an actual experience with your business. You must not use this service to generate fake, fabricated, or incentivised reviews that violate the terms of service of any review platform including Google. The negative review filtering feature must not be used in a manner designed to suppress legitimate feedback in a way that deceives consumers.
- All AI products: Must not be used to generate or distribute misinformation or content designed to deceive. Must not be used in any application involving vulnerable individuals, medical advice, legal advice, financial advice, or safety-critical systems without appropriate human oversight.
5. Consequences of Breach
If we determine, at our sole discretion, that you are in breach of this policy, we reserve the right to:
- Suspend access to any or all Accession Digital services immediately and without prior notice
- Terminate your account and any active service agreements
- Report any illegal activity to the appropriate authorities
- Pursue any legal remedies available to us
Suspension or termination for breach of this policy does not entitle you to any refund of fees paid.
